Code of conduct

The standards of behaviour we expect from everyone who works for or on behalf of Templace, and what happens if they are not met.

Why we have this code

Templace runs a recruitment platform that holds personal data about candidates, workers, clients and agency staff. Agencies trust us with that data and with the systems they use to pay people. This code sets out how we behave so that the trust is deserved.

It applies to the Director and to every contractor who works for or on behalf of Templace, whenever they are doing our work. Our other policies go into more detail on particular subjects. Where this code and a more detailed policy cover the same point, follow the more detailed policy.

Honesty and accuracy

Tell the truth to customers, suppliers, colleagues and the authorities. Do not overstate what the Service does, how it has been tested or what standards we meet. We do not claim any certification or accreditation we do not hold.

Keep records accurate and complete. Do not alter, back-date or delete a record to hide a mistake. If you make a mistake, say so promptly so that it can be put right. Owning up early is always better than a problem found later.

Agency data and confidentiality

Each agency's records belong to that agency, and we act on its instructions as its processor. You may enter an agency's system only when the agency has invited us, or on one of the reserved grounds in our data access policy. Every entry is recorded against your name in the agency's audit trail.

While you are in an agency's system, do only what you went in to do.

  • Do not copy agency data to your own devices, your personal email or any tool we have not approved.
  • Do not look people up out of curiosity, including people you know.
  • Do not use what you learn about one agency for the benefit of another agency, or of yourself.
  • Keep confidential information confidential, including after your work with us ends.
  • Report a suspected data breach to the Director straight away. Do not wait until you are sure.

Using AI and other tools

Use only the tools we have approved for our work. AI output is a draft or suggestion for a person to check; it is never a decision.

Never paste identity documents, right-to-work evidence or criminal-record certificates into an AI tool, and never try to get round the controls in the Service that stop those files being sent to an AI model.

How we treat people

Treat everyone with courtesy and respect: colleagues, customers, agency users, candidates, workers and suppliers. We do not tolerate bullying, harassment, discrimination or victimisation, whether it happens in person, by phone, by email, in chat or on social media.

Agency users and their candidates and workers see the agency's name and brand, not ours. If you deal with them while giving support, be clear and polite, and do not give advice on employment, pay or tax matters that is for the agency to give.

Gifts, interests and money

Do not offer, give, ask for or accept a bribe. Record gifts and hospitality as our anti-bribery policy requires. Tell the Director about any interest that could conflict with your work for us.

Never help anyone evade tax or commit fraud. Never change the bank details for a payment because of an email or call alone; confirm the change through a contact route you already know first.

Public statements and social media

Only the Director speaks for Templace to the press or in public. Do not name customers, or discuss their business, on social media or anywhere else without their written agreement. Do not share screenshots of the Service that show real people's data.

Raising concerns and breaches of this code

If you think something is wrong, raise it with the Director, or use our whistleblowing policy if you prefer. You will not be treated unfairly for raising a genuine concern.

Breaking this code may lead to your access being removed and your contract being ended or, for anyone we employ, to disciplinary action. Some breaches, such as bribery, fraud or misuse of personal data, can also be criminal offences, and we will report them to the authorities where that is right.

Questions about this code go to terry@hilliernet.co.uk. The Director reviews it at least once a year.
