What you pay for
Your prices are those agreed with you under our Service Agreement at /terms. Your fees are made up of:
- a monthly licence for the Service;
- any AI subscriptions you have chosen;
- registrations and worker-weeks, counted for each calendar month.
The AI allowance
Each agency has a free allowance of AI calls each month. If you need more, you can take an AI subscription, priced per user, per company or per tenancy.
An agency can switch the AI features off.
When we invoice
We invoice monthly in advance, on the first day of each month. For example, the invoice dated 1 March covers the licence and any AI subscriptions for March, plus the registrations and worker-weeks of February.
Each invoice covers:
- that month's licence;
- that month's AI subscriptions, if you have any;
- the registrations and worker-weeks of the month just ended.
When and how to pay
Each invoice is due 14 days from the invoice date.
We accept payment by bank transfer only. We do not accept cards or direct debits, and we will never ask you to pay by any other method.
Please quote the invoice number as your payment reference. Our bank details never change by email alone. Before you pay to new or changed details, check them as our Bank details and payment fraud policy explains.
Invoices are issued by TWH Holdings Limited, trading as Templace, company number 10663539. We charge VAT where it applies, and each invoice shows our VAT number, GB 326 5301 26.
Questions and disputes
If you think an invoice is wrong, tell us as soon as you can, and before the due date if possible, at terry@hilliernet.co.uk or on 07789 938284. Say which items you dispute and why.
Please pay any part of the invoice you do not dispute by the due date. We will look into the disputed part and reply within 10 working days. If we agree the invoice is wrong, we will issue a credit note or a corrected invoice.
Disputes we cannot settle this way are handled under the Service Agreement.
Late payment
If an invoice is not paid by its due date, we will remind you.
We may charge interest and compensation on late payments under the Late Payment of Commercial Debts (Interest) Act 1998. Under that Act, interest runs at 8% a year above the Bank of England base rate, and the Act also allows a fixed sum towards the cost of recovering the debt.
Non-payment and suspension
If an invoice remains unpaid, we will send you a notice of non-payment. The notice will say what is owed and by when, and will tell you to take your backups and export your data, so that you keep what you need if the Service is suspended.
If the sum is still not paid, we may suspend the Service.
After a non-payment notice, overdue sums are one of the reserved grounds on which a Templace person may enter your system. Any entry is recorded against that person in your audit trail, and we email you.
After suspension or termination, we keep your data for 90 days so that you can export it. It is then deleted from the live service, and copies in our backups age out on our normal backup schedule.
