How we keep the environmental impact of our software and our business low, and what we do and do not claim about it.

Our approach

Templace is a small software company. Our environmental impact comes mainly from the computing that runs the Service and our website, the equipment we use, and travel. We aim to keep each of these as low as is practical, and to be honest about what we do.

Running the Service

The Service runs on a server in the United Kingdom, shared by the agencies that use it, with each agency's records kept separate.

We keep data only as long as we need it. An agency's data is deleted from the live service 90 days after its contract ends or it is suspended, once it has had the chance to export it. Backups age out on a fixed schedule: we keep the newest 14 nightly backups and the first backup of each month for 12 months. Storing less uses less energy.

AI features use a lot of computing power. Each agency has a monthly allowance and can switch the AI features off entirely. We use AI where it saves people real work, such as reading an uploaded certificate, not for its own sake.

A light website

Our website, templace.co.uk, sets no cookies and runs no analytics, advertising or tracking. Its fonts and pictures are served from the site itself, not from third-party networks. That keeps pages small and avoids the extra data transfers that tracking and third-party content bring.

Less paper

The Service is designed to replace paper. Agencies can keep documents, e-signatures, timesheets, invoices and pay records electronically, and their careers website runs from the Service. We invoice our own customers electronically, and we do not print what we do not need.

Equipment and travel

We keep computer equipment in use for as long as it remains secure and supported, and repair it where we can. When it reaches the end of its life, we erase any data securely and recycle it through a route that handles electrical waste properly.

We hold meetings by video or phone where that works as well as meeting in person, and we travel when it adds real value.

What we do not claim

We do not claim to be carbon neutral or net zero. Any environmental claim we make will be specific, accurate and backed by evidence.

Suppliers and review

When we choose or review suppliers, especially for hosting, we take into account what they publish about their energy use and environmental commitments.

The Director reviews this policy at least once a year. Suggestions are welcome at terry@hilliernet.co.uk.
