About these policies
These pages set out how Templace works: how we handle data, how we run and secure the Service, how we deal with customers and suppliers, and how we expect the people who work for us to behave. They are written for Templace and apply to Templace.
Templace is a trading name of TWH Holdings Limited, registered in England and Wales, company number 10663539. Our registered office is Meadway, Mill Road, Writhlington, Radstock, BA3 5TY. Our VAT number is GB 326 5301 26.
Some policies describe commitments that are also in our contract with agencies. Where a policy and our terms at /terms differ, the terms govern our contract with that agency.
Who owns and approves them
The Director owns every policy in this centre. No policy, and no change to a policy, is published until the Director has approved it.
The Director also makes sure that everyone who works for us knows the policies that affect their work, and reads them again when they change.
How often we review them
We review every policy at least once a year. When we check the law, we use primary sources such as legislation.gov.uk, gov.uk, ico.org.uk and acas.org.uk. We review a policy sooner when:
- the law, or official guidance we rely on, changes;
- we change the Service in a way the policy describes, such as a new feature, a new sub-processor or a change to where data is held;
- an incident, complaint or concern shows that the policy is not working as it should;
- a customer, a regulator or anyone else points out something wrong or unclear.
Version history
Each policy shows its version number, the date the Director approved it, and the date of its next review. When we change a policy, we record what changed and why in its version history.
Corrections that do not change the meaning, such as a typing error, get a new minor version number (for example, 2.1). Changes of substance get a new major version number (for example, 3.0).
We keep every earlier version. If you need to know what a policy said on a particular date, ask us and we will send you that version.
Telling people about changes
The version history of each policy shows when it last changed. If a change affects what we do with an agency's data, or the agency's rights under our terms, we email the agency's account contacts before the change takes effect. Changes to our sub-processors are notified 30 days in advance.
Everyone who works for us is told about changes that affect their work.
Certificates and registrations
We are registered with the Information Commission (the ICO), the UK's data protection regulator. Our registration number is ZC285689.
Certificates we upload, such as our ICO registration certificate, appear on this page, so you can see them alongside the policies they support. When a certificate is renewed, we replace it here.
We do not claim any certification, standard or accreditation that is not shown on this page.
Questions and feedback
If you have a question about any policy, think one is wrong or unclear, or need one in a different format, email terry@hilliernet.co.uk, call 07789 938284, or write to the Director at our registered office. We aim to reply within 5 working days. If you are unhappy with our reply, you can use our complaints procedure.
These policies explain how we work. They are not legal advice, and they do not replace the law or your own professional advice.
