Health and safety

How we look after the health, safety and wellbeing of the people who work for us, including screen use, home working and working alone.

Our commitment

We will look after the health, safety and wellbeing of everyone who works for us and anyone affected by what we do. Most of our work is done at a computer, so our main risks come from screen use and posture, working from home or alone, and stress. We take them seriously.

The law

The Health and Safety at Work etc. Act 1974 requires employers to ensure, so far as is reasonably practicable, the health, safety and welfare at work of their employees and of other people affected by their work. The Management of Health and Safety at Work Regulations 1999 require employers to assess risks, and the Health and Safety (Display Screen Equipment) Regulations 1992 set requirements for work at screens.

An employer with fewer than five employees does not have to write its health and safety policy down. We do so anyway, and we apply it to our contractors as well as to anyone we employ.

Responsibilities

The Director is responsible for health and safety at Templace: assessing risks, putting this policy into practice and reviewing it.

Everyone who works for us is responsible for taking reasonable care of their own health and safety and that of others, for following this policy, and for reporting hazards, accidents and near misses.

Screens, home working and working alone

Most of our work is at a screen and much of it is done alone. Our arrangements are:

  • Everyone who works at a screen completes a workstation assessment when they start, when their workstation changes, and whenever they report discomfort. We provide or pay for reasonable equipment to put right any problem it finds.
  • Take regular short breaks, or change activity, away from the screen.
  • Anyone we employ who uses a screen as a regular part of their work can ask us to pay for an eye test, and for basic glasses if they are needed specifically for screen work.
  • Keep your work area safe: cables tidy, electrical equipment in good condition, and a working smoke alarm where you work.
  • If you work alone, make sure someone knows how to reach you, and tell the Director if you feel unwell or unsafe.

Wellbeing and stress

Work-related stress is a health and safety risk. We plan work so that it can be done in reasonable hours, including when we are dealing with urgent incidents. We use the Health and Safety Executive's Management Standards for work-related stress as our guide.

If work is causing you stress, tell the Director. We will talk about it in confidence and look at what can change.

Visiting other premises

When you visit an agency's office or any other site, follow that site's health, safety and fire rules, and sign in and out. If something looks unsafe, do not go ahead: tell the person in charge and the Director.

Accidents, incidents and emergencies

If something goes wrong:

  • In an emergency, call 999.
  • Report any accident, injury, near miss or work-related ill health to the Director within 24 hours.
  • The Director records it, looks into the cause, and decides what needs to change.
  • Where the law requires it, the Director reports it to the Health and Safety Executive under the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013 (RIDDOR).

Review

The Director reviews our risk assessments and this policy at least once a year, after any significant accident or incident, and whenever the way we work or the law changes.
